What is an Engagement Template?

An engagement template in coaching is a pre-designed framework that outlines the structure, activities, and goals for a coaching program, tailored to guide and streamline the coaching process.

How to Access Group Coaching Engagement Templates

Head over to the Global Settings, and voilà—you’ll find the Engagement Templates page just waiting for you. Check out the screenshot below for a sneak peek of where the magic happens.

Our Engagement Templates page lets you breeze through both 1:1 and group coaching templates. With handy tabs to keep everything organized, switching between template types is a snap. If you don’t spot the Group Engagement Templates tab, this means you may have to upgrade your account to include this paid Module. No worries—just drop a line to our Customer Success Team at [email protected], and we’ll get you set up in no time!

Under the Group Engagement Templates section, you'll find a table showcasing all your created templates. Here’s the information each column provides:

  • Name: The name of the template

  • Created By: The administrator who set it up

  • Date Created: When the template was first created

  • Last Update: The date of the most recent changes

  • 1:1 Sessions: Number of individual sessions included

  • Total 1:1 Hours: Total hours accumulated from 1:1 sessions

  • Group Sessions: Number of group sessions included

  • Total Group Hours: Total hours accumulated from group sessions

Now, let’s get the fun started and build your new coaching template. 🛠️


Creating a Group Engagement Template

Step 1: Once you’re on the group coaching engagement template page, start by clicking ‘Group Template.’ Next, give your template a name. After naming it, click the 'Next' button.

Step 2: Select one of two options “create template from scratch” OR “copy from an existing template.” If you create a template from scratch, select ‘create a new template from scratch’ and then hit ‘Next’. Then, you’ll choose a theme library. You can go with our default theme library (which Coaching.com provides) or pick one you’ve created yourself.

Step 3: In this next step when creating your template, you’ll decide if you want to enable or disable session and/or engagement ratings. Feel free to mix and match these options to fit your needs. You can select one of these options:

  • Enable session and engagement ratings

  • Enable engagement ratings

  • Enable session ratings

  • Disable ratings

What are session and engagement ratings?

  • Session ratings are feedback scores given by coachees after individual coaching sessions have been completed, reflecting their satisfaction and experience.

  • Engagement ratings are overall evaluations of the coaching program/engagement as a whole, providing insights into the effectiveness and overall impact of the coaching engagement. Both ratings help assess and improve the quality of the coaching experience.

Session Ratings Configuration:

If you’ve turned on Session Ratings, you’re in for some fun customization.

In this stage, you’ll get to choose the questions that coachees will answer after each session. Two of these questions are must-ask (marked with a lock icon), while the rest are optional.

This step and the image below are specifically for session ratings, In the next step, you will see engagement ratings to choose from OR not, the choice is yours. 😉

After this final step, click ‘Save’ and the group engagement template will be saved and presented for you to start building your Group Coaching Engagement Template with sessions, tasks, links, forms and so much more.


Editing Group Engagement Templates

Whether you’re crafting a brand-new template from scratch or building on an existing one, you’ll find three tabs at the top—Engagement Details, Resources, and Settings.

For group engagement templates, you’ll find:

  • Group Sessions: Perfect for bringing together coachees and coaches in one session. Awesome right?

  • 1:1 Sessions: These are your classic one-on-one sessions, but now they’re part of the group engagement setup. You can find more info in the section inside Group Sessions and 1:1 Sessions are key parts of a group coaching engagement. You don’t have to use both types, but the platform offers the flexibility to include one or both based on your needs. Tailor your coaching experience however you like.

Now it’s time to create your brand-new template! Start adding group sessions, 1:1 sessions, forms, files, tasks, and links. Dive in and make your template come to life!

ℹ️ Important Information: For those lively group sessions, feel free to fire up Zoom, Google Meet, or Teams. Let the collaboration begin!


Group Sessions Within the Template

Group sessions are a fantastic opportunity to enhance team engagement! You can have up to 45 coachees and up to 5 coaches in group sessions.

When adding a group session to your template, it’ll look a lot like a 1:1 session (check out the image below).

The 'Automate' option for session reminders and the 'Session Details' section for scheduling work just like they do for 1:1 sessions. They’ll send out automated reminders to both coachees and coaches, keeping everyone on track. Set these up now, and if you need to tweak them later, you can easily adjust them after the engagement is created from the template. Learn More about Automation.


1:1 Sessions Within the Template

1:1 sessions within a group coaching engagement let coachees have individual meetings with a coach while still being part of the larger group program. Although these 1:1 sessions look similar to those in other templates, there’s a key difference in the 'Attendees' section when you launch your engagement: here, both 'Coach(es)' and 'Coachee(s)' are pluralized to fit the group setting. This ensures that the template accommodates the full scope of your coaching program.

Here’s how things shake out when both the 'Coach(es)' and 'Coachee(s)' checkboxes are selected:

  • Single Coach: If there’s just one coach at launch, this coach will be matched with all coachees for their 1:1 sessions. It’s like having a personal coaching session with the entire team’s favorite coach.

  • Multiple Coaches: If you’ve got a lineup of coaches, no automatic assignments will be made for 1:1 sessions. This means that as the admin you get to play matchmaker and pair each coachee with the perfect coach after the engagement kicks off.

If you uncheck either the 'Coach(es)' or 'Coachee(s)' options, you’ll have the flexibility to make those assignments later on, once your engagement is up and running and from within the engagement itself.

ℹ️ Important Note: If you uncheck either the 'Coach(es)' or 'Coachee(s)' options at the template level, these changes will ONLY apply to any new engagements created using the edited template, it will not update/change existing active engagements using this edited template.


What are the Benefits of 1:1 Sessions Within a Group Coaching Engagement?

Here’s the scoop: Adding 1:1 sessions to your group coaching engagement template is like adding a secret ingredient that takes everything up a notch. It allows each coachee to enjoy personalized, one-on-one time with their coach, even within the larger group setting.

With 1:1 sessions, coachees can get answers to any burning questions they have, receive tailored feedback on their unique challenges, and track their individual progress more effectively. It’s a fantastic way to ensure that everyone gets focused attention and personalized guidance, making the most of both group dynamics and individual support.


Program Items and Assignments - Forms, Files, Tasks, and Links Within a Template

Other program item types, like forms, files, tasks, and links, have unique behaviors in a group coaching engagement. They scale with the number of assignees, making it easier to track everyone’s progress. When you add these items to your group coaching template, the 'Attendees' section updates to show plural 'Coach(es)' and 'Coachee(s)', so you can effortlessly manage and monitor your whole team.

When the engagement launches, if both the 'Coach(es)' and 'Coachee(s)' checkboxes are checked, the program items will be automatically assigned to the appropriate participants. This makes sure everyone gets what they need right from the start. 🚀
