Participants in a group coaching engagement are coachees and coaches who dive into the experience by actively contributing to and gaining from the collaborative learning and support offered. Coachees join in discussions with their coaches, share their unique insights and experiences, and work together to reach personal and group goals, creating a lively and enriching environment for everyone involved.


ℹ️ Important Information: Only admins have the ability to add new participants (coaches or coachees) to a group coaching engagement.

As an admin - The participant's tab is your go-to hub for all the details on coachees and coaches in a group or team engagement. During setup with the Engagement Wizard, you’ll pick your participants, and once the engagement is live, this tab gives you a full roster. You can easily manage the group from here—add or remove participants, update details, or chat directly with individuals. It’s your one-stop shop for keeping everything organized and connected! 🌟👥

As the coach - You have the power to see all your group coaching participants at a glance! Why dive into your messaging center when you can effortlessly send individual messages with just a click right from the participants' tab? It’s quick, and easy, and keeps the coaching vibes flowing smoothly with each of your coachees!

How to Add and Manage Coaches within the Participants Tab as an Admin

Adding Coaches Made Easy 🎉

Want to bring more coaching magic into your engagement? Here’s how you can add up to 5 fantastic coaches with just a few clicks from within the participant's tab:

Step 1: Hit the "+ Add Coach" Button
Look for this friendly button right above your list of coaches. Give it a click, and you'll open up the coach selection dialog.

Step 2: Choose Your Dream Team
Inside the dialog, you’ll see two columns:

  • Left Column: Shows all the available coaches you can choose from.

  • Right Column: Displays the coaches who are already part of your team.

  • Select Your New Coaches: To add a coach, check the box next to their name in the left column. Voilà! They’ll magically appear in the right column.

Extra Features at Your Fingertips 🌟

Do you need more control over your coaching roster? Just use the 3-Dot Menu on each row of the coach list in the Participants Tab. Here’s what you can do with it:

  • Message: This opens a message window so you can chat directly with the coach. It's like sending a quick text—easy and instant!

  • Edit Custom Fields: Click this to tweak any extra details or attributes for that coach. Perfect for customizing your coach profiles!

  • Remove from Engagement: If you need to part ways with a coach, this option will remove them from the engagement completely.


What Happens When Coaches Are Added or Removed?

When you add or remove a coach, some changes will occur with scheduling and information access. Check out the table below for all the details on these changes!

Group Sessions

If the group engagement template had “Coach(es)” checked, your new coach will join as an attendee! They’ll get access to session topics and details set by other coaches or admins.

1:1 Sessions

Coaches won’t be auto-assigned to 1:1 sessions—manual assignment is the way to go for each program item.

Program Items (Files, Links, Tasks, Forms)

If these items are already sent or completed, nothing changes. If “Coach(es)” was checked in the template, your new coach will be assigned to these items.

Notes

Your new coach won’t be able to see notes made by other coaches. It's like their own little notebook!

Removing a Coach From an Engagement Changes Overview:

The coach will be removed from the Participants Tab.

Group Sessions

If the only coach assigned to a group session is the one being removed, the session will be cancelled.

1:1 Sessions

  • Unscheduled or Draft Sessions: The coach will be unassigned, and the sessions will remain as-is.

  • Scheduled Sessions: These will be cancelled.

Program Items (Files, Links, Tasks, Forms)

For program items assigned to the coach being removed, the coach's assignment will remain if the program item is complete. Otherwise the coach will be unassigned.

Resources

Resources added and shared by the coach will remain shared.

Notes

Shared notes will still be visible to those who had access.

ℹ️ Important Note: If you are adding new items to the engagement - you will need to manually assign assignees if you have already added more coaches to the participants tab before adding the new item.


Managing Coachees Within the Participants Tab as an Admin

Managing coachees from the Participants Tab is similar to managing coaches. Coachees can be added or removed throughout the engagement, with business rules largely mirroring those for coaches. However, there are a few key differences:

  • 1:1 Sessions: If your engagement template had “Coachee” checked for any session, your new coachee will be added to those sessions as an attendee. They’ll be right there, ready to dive in.

  • Group Sessions: Removing a coachee won’t cancel any group sessions. The show goes on.

  • Program Items (Files, Tasks, Forms, Links): If the engagement template lists “Coachee” as an assignee for any of these items, your new coachee will be added if the item isn’t already done. They’ll get right to work.

Want to bring more coaching zing into your engagement? Here’s how you can add up to 45 coachees with just a few clicks from within the participant's tab:

Step 1: Hit the "+ Add Coachee" Button
Look for this friendly button right above your list of coachees. Give it a click, and you'll open up the coachee selection dialog.

Step 2: Choose Your Coachees
Inside the dialog, you’ll see two columns - To add coachees, simply check the box next to their name in the left column. Voilà! They’ll magically appear in the right column. You can also search for coachees using the search bar - isn’t that awesome!?

Step 3: Click ‘Save’ - You have just added participants to your group coaching engagement!
