The Coaching.com platform provides many tools and features for group team coaching that are designed to enhance the overall experience for all participants, including coachees, coaches, and administrators. These features offer visibility and transparency, streamlined management, automation & communication workflows, rich reporting and analytics all under a customizable and secure platform.

The guide below details the building blocks of the experience for administrators, coachees, and coaches as it relates to group and team coaching engagements.

Accessing Engagements via the Engagements Page

Once engagements are launched, the Engagements Page becomes an active hub for coaches and administrators. This page displays a comprehensive list of all ongoing engagements, including details such as the names of the coach(es) and coachee(s), the engagement name, start date, progress, and various other customizable attributes.

With the recent upgrade, the Engagements Page now also supports group and team coaching engagements. While the core features remain familiar, there are some new enhancements and nuances tailored specifically to group coaching, as outlined below.

The Engagements Page

Coach(es) and Coachee(s) Columns

In group or team coaching engagements, the 'Coach(es)' and 'Coachee(s)' columns can now reflect multiple participants rather than just a single individual. For coachees, the total number is aggregated and displayed, such as '18 coachees.' Other coachee-related columns, like 'Coachee Company' and 'Leader Level,' may also be aggregated to provide a clear overview.

Coaches may also be aggregated in the display, with potentially multiple coach avatars shown to represent the group. If a coach is viewing this page to see their engagements, their own avatar will always be prominently displayed.

Progress Column

Progress tracking for group and team coaching matches that of a 1:1 engagement and it tracks the completion of the program items. Later in this guide is a description of the mechanics between program items and assignments to coachees or coaches. What is important to note here is that the progress will be tracked based on the completion of the overall program items, and not of individual assignments within those program items.

Inside of an Engagement Viewing the Engagement Overview Tab

The Engagement Overview is the first tab in an engagement, designed to highlight important items that require attention or action. In group or team coaching engagements, where there may be multiple coaches and coachees, this many-to-many relationship is reflected in the various cards or panels displayed on the Engagement Overview page. Each individual—whether a coach, admin, or a coachee—will see a personalized overview that specifically highlights the information and actions relevant to them.

The Admin View of the Engagement Overview tab is divided into three key sections:

  1. Sessions Pane:

    • This section displays sessions in a table format for administrators. Similar to the Engagements Page, the table view on the Engagement Overview page has been enhanced to accommodate engagements with multiple coachees and coaches, providing a clear overview of all scheduled sessions.

  2. Assignments:

    • The next pane presents assignments for the coachees (although assignments may also be present for coaches). This section allows admins to easily track the distribution and completion of tasks assigned to each coachee, ensuring that all participants are progressing as planned.

  3. Goals:

    • The goals section lists all goals associated with the engagement. It has been updated to include both individual goals and 'Shared Goals,' which apply to the entire group or team. More details on shared goals can be found later in this guide.

Coachees will access the Engagement Overview Tab, where the content is tailored specifically to them. This page will display relevant sessions they are involved in, any assignments assigned to them, and both shared and individual goals. Each coachee’s view will be personalized to highlight the information and tasks pertinent to their view of the engagement.

Participants Tab

The Participants Tab is a valuable addition that offers details about the coachees and coaches involved in a group or team engagement. During the setup of an engagement through the Engagement Wizard, participants are selected as part of the workflow. After the engagement is launched, the Participants Tab displays a complete list of all participants and provides additional controls for managing the group. This includes options to add or remove participants, to make adjustments to participant details, or to facilitate communication with individuals via chat.

Coach Management within the Participants Tab

The top pane of the Participants Tab features the 'Coaches' section, which lists all coaches assigned to the engagement. This section provides options to add or remove coaches throughout the lifecycle of the engagement.

To add coaches, use the "+ Add Coach" button located above the list. Clicking this button opens a coach selection dialog, allowing you to add up to 5 coaches to a group or team engagement. The selection dialog displays two columns: the left column lists existing coaches, and the right column shows coaches who have been selected. You can add a new coach by checking the box next to their name, and they will then appear in the right-hand column as selected.

Additional options are available through the 3-Dot Menu on each row of the coach list in the Participants Tab. The 3-Dot Menu, as illustrated in the image of the Participants Tab, includes the following features:

  • Edit Custom Fields: Opens a dialog for editing custom fields specific to that coach, allowing for the modification of additional details or attributes associated with the coach.

  • Message: Launches a message dialog to enable direct communication with the coach, facilitating easy and immediate interaction.

  • Remove from Engagement: Provides the option to remove the coach from the engagement entirely, should the need arise.

When a coach is added or removed from the engagement, there are certain scheduling, and information access changes that will occur. The table below lists the details of these changes.

Group Sessions

If the group engagement template had “Coach(es)” checked for assignment, then the newly added coach will be added as an attendee of the session. The coach will be able to view any session topics or topic details that have been set by other coaches or administrators for that session.

1:1 Sessions

Coaches will not be auto-assigned to 1:1 sessions. This can be done manually for each program item.

Program Items (Files, Links, Tasks, Forms)

If one of these program items are already sent or complete, there will be no changes. Otherwise, if the group engagement template had “Coach(es)” checked for assignment, then the newly added coach will be added as an assignment of the program item.

Notes

The added coach can not see any notes that were created by other coaches.

Removing a Coach from an Engagement

Group Sessions

If there are group sessions that are scheduled, and the only coach assigned is the one being removed from the engagement, then the session will be cancelled.

1:1 Sessions

If a coach is assigned to a 1:1 session set, and all of the sessions are unscheduled or draft, then the coach will simply be unassigned from the sessions and they will remain as-is otherwise.

If there are any 1:1 sessions scheduled with the coach, they will be cancelled.

Program Items (Files, Links, Tasks, Forms)

For program items assigned to the coach being removed, the coach's assignment will remain if the program item is complete. Otherwise the coach will be unassigned.

Resources

Resources that were added by the coach, and have been shared will remain as shared resources.

Notes

Notes that were shared will still be visible to those individuals.

Coachee Management within the Participants Tab

Managing coachees from the Participants Tab is similar to managing coaches. Coachees can be added or removed throughout the engagement, with business rules largely mirroring those for coaches. However, there are a few key differences:

  1. 1:1 Sessions: If the engagement template had “Coachee” checked for any session, then the newly added coachee will be added as an attendee to sessions that are not completed at the program item level.

  2. Group Sessions: Removing a coachee does not result in the cancellation of group sessions.

  3. Program Item Assignment: If the engagement template includes “Coachee” as an assignee for any file, task, form, or link, the coachee will be assigned to the program item if it is not already marked as complete.

The Engagement Details Tab is where you see the full view of the engagement program items, including the session, assignments, and tasks for the coachees & coaches.

Group Sessions

Group sessions provide an incredible amount of connectivity to the participants and a great degree of control & visibility to the coach (or administrator). Group sessions on the platform can have up to 50 coachees, however in practice this is commonly much lower. Also up to 5 coaches are supported. Group sessions look very similar to 1:1 session in the platform, as seen below. .

Notable Features of Group Sessions

Scheduling:

  • Coachee Scheduling: Unlike 1:1 sessions, coachees do not have the capability to schedule group sessions.

  • Multiple Coaches: When scheduling a group session with more than one coach, the workflow prompts you to select which coach's availability preferences to use and which coach will serve as the primary calendar for scheduling.

Attendees:

  • Status Card: The 'Status' card provides information about the attendees, including their avatars, offering a visual overview of who is participating in the session.

  • Updating Attendees: You can add or remove attendees using the 'Update Attendees' button. The new 'Attendees' dialog (illustrated below) facilitates the selection of attendees either individually or all at once.

  • Show Analytics: The 'Show Analytics' option opens a report that details the attendance of all participants, allowing you to review their engagement and presence in the session.

The Attendees Dialog allows for the easy addition or removal of attendees for the group session.

Analytics Pane

Group Sessions, 1:1 Sessions, and other program items such as Files, Forms, Links, and Tasks now feature an Analytics Pane. The content displayed in the pane varies based on the type of program item:

  • Group Sessions: The Analytics Pane provides a list of attendees and tracks attendance for each participant, offering insights into who attended and their level of engagement.

  • 1:1 Sessions and Other Program Items: The Analytics Pane adapts to display relevant metrics and data specific to the type of program item, ensuring that you have the necessary insights for effective management and evaluation.

Attendees, including both coaches and coachees, can be marked as either attended or absent using the 3-Dot menu. Beyond coaches and coachees, the system will also allow for tracking the attendance of any additional participants.


1:1 Sessions

1:1 sessions within the context of a group or team coaching engagement offer an incredible amount of power in scheduling efficiency and organization, and it comes with a great deal of flexibility. 1:1 sessions can be used at intervals throughout the program, or as breakouts for the coachees, allowing for the potential of 1:1 coaching to take flight.

A group or team coaching engagement may involve one or more coaches. 1:1 sessions can be designed to take advantage of having multiple coaches within the program. For example a cohort could be divided to work with individual coaches for the 1:1 session throughout the program. In contrast the group sessions can involve more than one coach within the session.

1:1 Session - Coachee View

For coachees, a 1:1 session within a group engagement will look identical to a session within a 1:1 engagement (as seen below). The coachee will only have visibility of their individual session with the coach. All of the functionality will be available including scheduling, session topics, topic details, comments, and notes.

The image below shows the coach view of a 1:1 session. You may notice that in the Status pane there is a single coach, with many coachees. A 1:1 session can only have a single coach. The Analytics tab then shows each of the individual 1:1 sessions for the coach/coachee pairs. This means that the coach has a single place to manage potentially many 1:1 sessions within a single program item.

Within a group or team coaching engagement, the 1:1 session has some new features described below:

  • Mark Complete: Within the context a group engagements there are different statuses. Individual sessions are tracked within the Analytics tab (see below). However the coach (or admin) can update the progress of the overall program item by marking it as complete with the Mark Complete button. This will update the overall 'Progress' of the engagement, as seen on the Engagements page and the Analytics tab.

  • Status Pane: The Status Pane provides high-level information on the coachees that are a part of the session as well as the status. The detailed information for each session is within the Analytics tab (see below).

  • Analytics Dropdown: Within the Analytics dropdown, the details of the 1:1 sessions comes to life. Here is where the coach can manage the individual sessions. Find out more details about this feature below.

Within the Analytics dropdown is where all of the details live for the individual 1:1 sessions between the coach and each coachee, and will appear as a list. The list of sessions shows the session status, and provides a 3-Dot menu for some quick actions. The actions vary depending on the session status, but generally be able to schedule the session, send a message to the coachee, change the status, or add a note (See below).

Each row is also interactive. The coach can click on any row to open up the Session Details view.

From the Analytics dropdown the coach can click on any row to open the Session Details view. The Session Details view provides all of the controls for the coach to manage the individual session.

From here, the coach can schedule, update the status, include additional attendees for the 1:1 session, edit session topics, or take session notes.


Program Items (Links, Files, Forms, and Tasks)

Links, Files, Forms, and Tasks each provide a different type of program item within the engagement. Links and Files can pull from resources and provide the coachee with information to external sites, or contain pdf's or Word docs. Forms pull from resources as well, and incorporate survey functionality. Tasks are different program item types that can be used provide directives throughout the engagement. In all cases, these program item types represent assignments to the coachee (or coach).

Links, Files, Forms, and Tasks can be used as program items fluently throughout a group or team coaching engagement. The platform keeps all of the assignments organized for the coachee, the coach, and for administrators. You can read more about setting up Links, Tasks, Forms, and Files in the guide about group and team engagement templates.

Program Items - Coach View

The following image shows the coach view of a Link program item.

You may notice a 3Dot menu in the upper right. This menu has options, just like in a 1:1 engagement that includes options for setting up Automation as well as Resending the assignment to the coachees.

The Status pane is expanded for group and team coaching engagements to include potentially many assignees. The coach is able to add or remove assignees using the 'Update Assignees' button. This will open the Assignees Dialog and allow for the coach (or admin) to make changes. The overall program can be marked as completed when the coach is ready, and this will update the Progress column on the engagements page. The details of the assignments can be found by clicking on the 'Status Details' button.

Status Details

The Status Details (Shown below) shows all of the details of the individual assignments. Here the coach can see who has completed the assignment, resent the assignment, or message the coachee via messaging.

The Status Details pane can be opened and closed as needed, and is also available to administrators.

Program Items - Coach View

The coachee view of a Link, File, or Task program item is simplified. The view only consists of information that is specific to their experience, without information about the greater cohort assignments.



Goals

Within a group or team coaching engagements, there are new options for creating and trackings goals that are very exciting and open up new coaching opportunities. Individual goals have always existed in the platform, and they are fully supported in group and team coaching engagements. And now, there are also shared goals, which are visible to all coachees and coaches in the engagement.

Shared Goals

There are many documented benefits to having shared or collective goals. These goals can promote alignment, help with clarity, build collaboration, and more. Shared goals are available within a group or team coaching engagement and provide all of the rich functionality of individual goals, however provide visibility and transparency to all coachees and coaches in the engagement.

Only coaches or administrators have the ability to create shared goals. And similarly, only the themes and milestones can be edited by someone with these permissions. Shared goals are enabled to collect feedback from external stakeholders as well.

Individual Goals

Individuals goals are specific to a coachee within the engagement. The individual goal can be shared with the coaches of the engagement, or to everyone in the engagement including coachees. The combination of shared and individual goals can create for both personal and collaborative experience for the coachees within the engagement.

A coach will be able to see all of the goals within the engagement including shared goals and individual goals.

The goals can include due dates, as well as individual milestones with their respective due dates. A progress tracker will track the milestones so that the completion status can be seen easily from the Goals page. Themes can be applied so that the information is bubbled up into the Themes report. Lastly stakeholders can be asked to provide feedback so that the information can be used in the coaching sessions, or so that it can be tracked over time.

Coachees will have a very similar view as coaches, however they will only see shared goals as well as their own individual goals. Coachees do not see other coachee's individual goals.


Analytics Tab

The Analytics tab is new for engagements and provides a very robust and consolidated place to track data for the engagement. This new tab is available for 1:1 engagements, on-demand engagements, and group or team coaching engagements. Visualizations as well as ratings information that were previously in Engagement Settings are now available with Analytics. Also, these visualizations have been expanded to showcase both group sessions and 1:1 sessions within the engagement.

The Analytics Tab has a rich set of visualizations and table data that can be used to track the progress of an engagements. The components of the Analytics tab include:

  • Session & Hours Info (Bar Charts): There are 4 different bar charts to illustrate the status of sessions and this is broken down by group sessions and 1:1 sessions.

  • Session Ratings (Bar Chart): The session ratings that come back from coachees are aggregated under a single bar chart, showing the average responses for the questions within the survey.

  • Engagement Ratings (Bar Chart): The engagement ratings that come back from coachees are aggregated under a single bar chart, showing the average responses for the questions within the survey.

  • Engagement Progress (Table Data): The Engagement Progress table is a unique way of viewing the engagement that gives a birds-eye view of the status for all of the program items. It also shows scheduling information, as well as information related to completion status.

  • Session Ratings (Table Data): The individual session rating responses will be recorded within this table. Anonymous ratings will not include the rater's personal information. There is a link to the Session Ratings Report, providing a means for deeper analysis.

  • Engagement Ratings (Bar Chart): The individual engagement rating responses will be recorded within this table. Anonymous ratings will not include the rater's personal information. There is a link to the Engagement Ratings Report, providing a means for deeper analysis.
