Add Details to Your Session

In each session within a program, there are two slightly different ways to set the date, time, and duration of a session.

As an admin or an engagement stakeholder editor, clicking on the 3 dots of a Session item will reveal the following menu with options:

  • Automation (Set up notifications)

  • Complete

  • Late cancel

  • Make a copy (Admin privilege)

  • Delete (Admin privilege)

Updating the duration of a session before scheduling the session requires admin permissions, or engagement editor permissions (it’s a structural change to the program.)

To grant engagement editor privileges (this will allow the stakeholder to make changes to the engagement):

  • From an admin account navigate to the engagement settings.

  • Scroll down to Engagement Stakeholders, then select Add Stakeholder.

  • Select Editor (allows the stakeholder to edit the engagement), then type in the coach’s name or another stakeholder.

The coach will now be able to freely update the date, time, and duration of all sessions within their engagement prior to scheduling. Please note this will also allow the stakeholder to make structural changes to the engagement. Check out the article below to learn more about engagement stakeholders.

When you are ready, add details to your session so that the attendees have the information they need before the scheduled date.

  • From your Engagements page select an Engagement or create a new one.

  • Choose a Session and add a Description, a Location, a Meeting time, the Attendees, Action Items, and Comments.

How to Complete a Session

Once an admin or coach chooses to complete a session they can mark the session as complete.

  • From your Engagements page select an Engagement.

  • Choose the Session you want to complete and click on the three dots, then select Complete

  • Confirm the date and time in the modal and click Complete.

Admins and coaches will also find a complete session button that will complete the session – this allows the session to be logged as complete in the system, but will not generate any invitations.

Changing the Date on Completed Sessions

If the wrong date or time was input on the completed session, coaches and admins will be able to adjust the completed date. To change the complete date/time of a session:

  • From your Engagements page select an Engagement.

  • Choose the completed Session that you want to edit, and click on Change Date

  • Confirm the date and time in the modal then click Complete
