Optimizing Reports for Export and Sending

Overview

Coach Analytics and Insights offers incredible flexibility for creating visualizations for any type of data. Visualizations and cards can be dragged around on the screen to make perfect-looking reports.

When these reports are exported, or sent via email, the report that looked perfect on screen might have visual issues due to physical limitations with the size of pages. Both PDFs and Powerpoint documents are designed to be able to print to standard paper. Therefore there is only so much room on a single page.

Standard reports from Coach Analytics and Insights on Coaching.com have been optimized for presentation on a screen. And depending on the report, the print version may not be as ideal. Luckily there are steps to correct the export behavior for both the standard reports, and any custom report that is created. The steps to optimize the reports for export and sending is detailed below.

Optimizing for Export and Sending Reports

Most commonly you are looking to optimize a custom report that you have created for your team or for a client. Alternatively, since standard reports from Coach Analytics and Insights are read-only, they can be copied to create a custom report that you can manipulate as desired. In either case, the report needs to be optimize for print, and the steps are quite simple.

Below is a screenshot of the Engagements Dashboard that was copied into a new version called "My Engagements Dashboard".

As seen in the second image above, that some of the cards are cutoff, and are not fully visible on the page. The reason is due to the height of all of the various cards in the report. In order to resolve this, the height of the visualizations must be adjusted so that they are optimized to fit within a single page. Here are the steps:

  1. Go into edit mode of your custom Dashboard

  2. Hover over any given visualization to see the sizing handles appear

  3. Click and Drag on the sizing handles to adjust the size of the visualization

  4. Save your Dashboard

  5. Click the Export option to see a preview. You can Choose PDF or Powerpoint. (Excel creates a native version that is different).

  6. On the Preview window, check where the page breaks will occur

  7. You may have to iterate a few times in order to get the right placement
