Understanding how to manage engagements is key to optimizing your coaching practice. This guide will walk you through engagement limitations, status types, and how to activate or adjust engagements effectively. Engagement Status Types
Engagements can have 5 types of statuses:
Draft: The default status for new engagements. An engagement will remain in this state until it is started.
Active: The engagement is live, and program items can be assigned and accessed by participants.
Inactive: The engagement is temporarily paused and can be reactivated if needed.
Incomplete: The engagement has ended without being fully completed. This status is read-only for all participants and helps distinguish engagements that didn't reach completion from those that did, keeping your reporting accurate.
Completed: The engagement has ended, but it can be reopened if necessary.
💡 Important Note: Active engagements cannot be moved back to the draft state. However, inactive, incomplete, and completed engagements can all be moved back to active.
Change an Engagement Status
To change the status of an engagement:
Navigate to the Engagements Page.
Select an existing engagement or create a new one (new engagements default to the draft status).
Click the Activate Engagement button at the top of the screen. Once activated, this button will turn into a dropdown menu.
Use the dropdown menu to select the desired status: active, inactive, incomplete, or completed.
💡 Tip: Always double-check participant assignments and program item completions before changing the status.
Engagement Status Visibility for Coaches and Coachees
When an engagement is marked as Inactive, Incomplete, or Completed, the status is surfaced in two places so that coaches and coachees always have a clear picture of where things stand.
Status Pill on the Engagement Page
A status pill appears at the top of the engagement page, visible to coaches, coachees, and viewers. This helps participants understand why certain items or actions may not be available within the engagement.
💡 Note: Active engagements do not display a status pill — the pill only appears for non-active states.
Status Tag on Engagement Cards
On the coachee dashboard, each engagement card displays a status tag next to Progress for any engagement that is Inactive, Incomplete, or Completed. The card will also show the date the status was applied, giving coachees full transparency into the current state of their engagements.

Free accounts are limited to 1 active engagement at a time.
If you need to manage multiple engagements simultaneously, consider upgrading your account for unlimited active engagements.

Assigning Program Items
If an engagement participant cannot see their program items:
Verify that the engagement is activated.
Confirm that the program items have been assigned to the participant.
Make sure the items have been sent via the system.

Communicate with participants about assigned items to avoid confusion.
