Release Notes March 5, 2026 - Coach and Client Management Tools

This release delivers significant improvements to how administrators manage individuals and organizations within the Coaching Management System. Actions that previously lacked transparency or could leave records in an invalid state have been redesigned to be thorough, predictable, and clearly communicated. Three distinct actions are now available — Disable, Delete, and Disconnect — each with well-defined behavior and confirmation dialogs that detail exactly what will be affected before proceeding.

In This Release

Disable

Suspend Access While Retaining Records

Disable represents new functionality to control access for older or unused accounts. This action is available for any individual individuals or organizations that you directly manage. Disabling suspends login access without permanently removing any data. Records and engagement history are fully preserved. Access can be restored at any time by re-inviting the user.

You will find the Disable option on the 3Dot menu next to employees, on client organizations, and on client coachees that are under your management (See below).

After selecting 'Disable' a dialog will be presented with information about the outcomes.

What happens when you disable an account:

1:1 engagements maintain their current status; the individual appears in a new "Disabled" state

On-Demand engagements maintain their current status; disabled coaches will not appear on the Coaches Page

Group Engagements (Active/Draft/Inactive): the individual is removed from the engagement

Upcoming sessions and coach matching interviews are canceled; cancellation notifications are sent

Shared resources remain visible to recipients

Delete

Permanently Remove a Record

Delete offers the ability to fully delete individuals from the system. This may be to GDPR/CCPA, or could be to remove test data. This action is available for individuals and organizations that are managed directly by you. Deletion is permanent and cannot be undone. Administrators are encouraged to consider using Disable instead, which preserves records for reporting purposes.

Once selected, a verification dialog will be presented that requires you to type 'delete' to proceed.

What happens when you delete an account:

All PII — including name, avatar, and personally identifiable information — is permanently removed

1:1 and On-Demand engagements where the individual or company is the coachee are fully deleted.

Group Engagements remain, but the deleted participant is removed

Personal information (form submissions, rating submissions, session notes, and personal goals) is permanently deleted

Upcoming sessions and coach matching interviews are canceled; cancellation notifications are sent

Sent invoices related to the individual or company remain

This action is meant to provide necessary functionality, but cannot be undone. Please proceed with caution.

Disconnect

Remove an External Connection

Disconnect is an option that has been available on menus, but has lacked clarity in what it does. Disconnect not exclusively applies to individuals and organizations with independently owned accounts on the platform — such as Indie Coaches, Indie Coachees, Connected Client or Coach Organizations. By 'disconnecting' you will maintain any engagement data that you own. For the individual that is being disconnected, they will no longer have access to you or your engagements. The connection can be re-established at any time by re-inviting the individual or point of contact.

After selecting 'Disconnect' a dialog will be presented with details about the action. You will be required to type 'disconnect' to continue.

What happens when you disconnect:

• All references to the individual or company are removed from the Vendors, Coaches, or Clients pages, as applicable

• They are no longer available to message or include in new engagements

Engagements owned by either party that include the other become mutually inaccessible. The engagements that you own and manage will only be visible to you going forward.

1:1 and On-Demand engagements where the individual is the coachee are marked Incomplete

Group Engagements (Active/Draft/Inactive): the individual(s) are removed from the engagement

Upcoming sessions and coach matching interviews are canceled; cancellation notifications are sent

Reporting data for engagements owned by your company is retained

Sent invoices remain

Coach & Coachee Reports — Expanded Visibility

Coach and Coachee Reports within Coaching Analytics and Insights have focused on active individuals and have excluded users with invited status. Moving forward both of these reports now include individuals with a status of Disabled (New) or Invited. Administrators will see these changes reflected immediately in the reports.
