Zoom helps to power video conference technology for online coaching sessions around the globe. Coaching.com provides a unique integration for coaches to be able leverage their Zoom accounts within their Coaching.com portal. Coaches can set Zoom as the meeting location for sessions, and unique links will be created and included in the calendar invites for the coach and coachees.

The following article describes how to connect Coaching.com to Zoom, and how to configure Zoom to be your default meeting location for online sessions with your clients.

How Coaching.com Works with Zoom

When you connect Coaching.com to your Zoom account, you will provide authorization that allows for Coaching.com to create and update meetings based on sessions that are scheduled in Coaching.com. You will also provide authorization for Coaching.com to retrieve meeting summaries. After authorization is complete, then you will be able to set Zoom as a meeting location for your coaching profile. When using Zoom as an online meeting location, unique links will be created for each online session and will be added to the calendar invite that is sent to you and your clients.

Steps to Use Zoom as a Meeting Location

The following shows the steps to be able to use Zoom within your Coaching.com account for providing unique Zoom links for online sessions.

Connect Coaching.com With Your Zoom Account

To connect Coaching.com to your Zoom account you will go through a short flow in which you provide authorization for Coaching.com to access your Zoom account. First go to your Calendar Settings page. Within the 'Default Locations' section click on the 'Create New' button to add a new meeting location.

The Meeting Locations dialog will appear (as seen below). There is a new option that is available to 'Connect Your Zoom Account'. Click on this button to get started.

After clicking on the 'Connect Your Zoom Account' button you will begin a flow that opens a popup dialog and asks you to login to Zoom (Shown below).

After entering your email address and password for Zoom and selecting 'Sign In', an authorization screen will be shown (Shown below).

The authorization screen shows the specific permissions that you provide for Coaching.com to access your Zoom account in the following ways:

  • Create, update, and delete meetings created through Coaching.com

  • Create meeting invitation links

Set Zoom as Your Default Meeting Location (Optional)

Once connected, Zoom becomes a new meeting location and is shown from on Calendar Settings page.

Zoom can be set as the default location for coach matching interviews, and for sessions, by clicking on the relative icons on the right of the table (shown above). When Zoom is set as the default location, when new engagements are created, the session location will automatically be set to use Zoom meeting links.

Set Zoom as the Swession Location

Each session with clients can be configured on the session view. Here the location of the session can be modified to use Zoom meeting links (Shown below).

When editing the location of the session, the connected Zoom account will be available for selection (Seen below).

Scheduling Sessions with Zoom

Sessions can be scheduled by coachees, the coach, or by admins. When the session location is set to Zoom, it will automatically use the coach's connected Zoom account for creating the meeting location that appears on the coach and coachee's calendars. The link created by Zoom will be a unique meeting invite URL that will pertain to the single session.

The scheduling flow will confirm that the meeting location is set to Zoom (Seen below).

Whenever sessions are scheduled an event will be created on the coach's calendar(s), and the coachee will receive an email invitation with the meeting event. When using Zoom as the meeting location, the location for the meeting event will be set to the meeting link returned from Zoom.

Meet Your Clients On Zoom for Your Online Sessions

When it is time to join your client online for the session, the Zoom meeting link is available from your connected calendar event, or from within Coaching.com on the session page for both you and your client. The Zoom meeting link will require that you login to be the host. The meeting does not require that the client logs directly into Zoom. They can join as a guest.

Disconnecting Zoom from Coaching.com

You can disconnect your Zoom account from Coaching.com at any time. You can do so by visiting your Calendar Settings page. In your Default Locations section look for the Zoom meeting location. Disconnect your Zoom account by clicking on the Trash Can icon next to the meeting location.

You can also disconnect your Zoom account from Coaching.com by going to your Zoom App Marketplace.

Setting Geo Locations for Session Calls

Coaches who use Zoom are in control of their account, and the sessions using Zoom are happening outside of Coaching.com's data center. Coaches who may be sensitive to where data is processed from a geography perspective have options within their Zoom accounts to control which Zoom data centers are used for the calls.

Within your Zoom account, under Settings -> General, there is a section called 'Real-time data center location". In this section there are a number of countries listed, with a checkbox next to each. Simply check the boxes of the countries that are in the areas in which you approve for the real-time data to be stored.

Meeting Options Within the Zoom Call

The options available within the Zoom call, such as features, are based on your Zoom plan. You can find more information about the plans and pricing on the Zoom website.
