If you're aiming for swifter operations, this release delivers a significant impact. Just a few months back, we introduced the initial version of Bulk Edit, hinting at further enhancements on the horizon. Now is the moment to unveil even greater capabilities, such as the ability to swiftly add program items in bulk and manage engagement stakeholders more efficiently, including changing engagement ownership. It's empowerment to effect substantial changes with minimal effort, all at the click of a button.

In This Release:

Bulk Edit (Program Items, Stakeholders)

Introducing the next evolution of bulk editing tools! With Bulk Edit, updating numerous engagements simultaneously is a breeze. Available for premium and enterprise accounts, it offers a seamless solution for streamlining your processes.

Now available from the Bulk Edit menu are some new options, including:

  • Change Engagement Owner

  • Add Viewer

  • Add Editor

  • Add Engagement Item

Change Engagement Owner

Previously, changing the engagement owner was out of reach, leaving engagements locked in one set of hands. However, with this update, the flexibility to transfer ownership is now at your fingertips. Whether due to personnel transitions or realigning primary responsibilities, this feature enables swift adjustments. With just a few clicks using the bulk edit tool, you can seamlessly pass the torch and keep workflows fluid.

To complement this new capability, we've integrated "Engagement Owner" into the filter options at the top of the Engagements page. This enhancement ensures seamless alignment with the new feature, allowing for effortless filtering and quick access to engagements based on ownership.

3 Steps to Changing the Owner

First start with the Bulk Edit action 'Change Engagement Owner'.

Select a new owner

Confirm the changes

Wait for the results

Note*: The new owner must be a Global Administrator or a Location Administrator.

The results will be delivered via email in a CSV file.

Add Viewer and Add Editor

With just a few clicks using Bulk Edit, you can now easily assign Viewers and Editors to engagements. Viewers and Editors come with specific permissions tailored to suit your needs, whether it's providing visibility or enabling additional administration tasks within the engagement.

3 Steps to Adding Viewers and Editors

First start with the Bulk Edit action 'Add Viewer or Add Editor'.

Confirm the changes

Wait for the results

The results will be delivered via email in a CSV file.

Add Engagement Items

Adding program items to engagements has never been easier, now just a few clicks away. This opens up endless possibilities for managing and expanding engagements with additional items. For instance, administrators and coaches can swiftly include sessions, files, links, forms, or tasks, enhancing the engagement experience. Check out the image below to explore the array of options now at your disposal.

Steps to Adding Engagement Items

Begin by initiating the Bulk Edit action "Add Engagement Item," then proceed to select the type of engagement item you wish to add (as illustrated above).

Following these initial steps, the setup process for each Engagement Item varies. Each workflow necessitates specific information to effect the changes. The workflows for each type of engagement item are detailed below.

Engagement Item

Description

Session

When adding sessions you will be given the option to enter the count of sessions to be added, along with the amount of minutes per session. Also, you can specify the session name and description. The sessions will be added to the end of the engagement.

Form

When adding a form, a dialog will present the available forms from the account. The form selected will be added to the end of the engagement. Following this dialog is another dialog that will ask if the form should be assigned to the coachee or coach.

Files

When adding a file, a dialog will present the available files from the account. The file selected will be added to the end of the engagement. Following this dialog is another dialog that will ask if the file should be assigned to the coachee or coach.

Tasks

When adding a task, a dialog will be presented and will allow for the task title and description to be entered. Following this dialog is another dialog that will ask if the task should be assigned to the coachee or coach.

Links

When adding a link, a dialog will present the available links from the account. The link selected will be added to the end of the engagement. Following this dialog is another dialog that will ask if the link should be assigned to the coachee or coach.

In each case above there will be a confirmation dialog that summarizes the changes and allows for review before submitting.

New Coach Matching Metrics for Reports

During the week of April 29th, 2024, we're introducing new metrics to enhance the Coach Matching Report and the Engagements report. Administrators will gain visibility into the start of coach matching engagements and the associated timeframe for coach selection. These additions are invaluable for building insights and providing meaningful data when engaging with client organizations.

Two new engagement attributes will surface as new columns in the reports.

Coach Matching Report

The Coach Matching report will have a new field "Coach Matching Start Date" that will be based on when the engagement goes into matching.

Engagements Report

The Engagements Report will now include the "Coach Matching Start Date" mentioned above. It will also include a new date which is the "Coach Selection Date". The Coach Selection Date is the date of when a coach is first selected by either the coachee, or an administrator.
