2024 is shaping up to be an amazing year, with this latest release serving as a foundational step forward. It introduces a suite of tools geared towards enhancing efficiency. Among these advancements is the debut of "bulk edit," a feature facilitating streamlined modifications across multiple engagements with minimal effort. Its potential for further development is vast, promising even greater utility in the future. Additionally, this release brings forth a wave of new filters within Reports, offering users access to a diverse array of date attributes. These filters significantly bolster the platform's analytical capabilities, empowering users to finely dissect data or craft robust reports with ease.

Bulk Edit - Engagement Status

The Bulk Edit feature has now been introduced for Engagements, and is rolling out gradually in waves. This functionality empowers administrators to swiftly enact changes with just a few clicks, streamlining tasks that would otherwise be time-consuming. Initially, users can leverage bulk edit to update engagement statuses en masse, a particularly convenient tool for synchronizing with bulk import operations or managing the simultaneous launch or completion of multiple engagements. It's important to note that Bulk Edit capabilities are exclusive to Premium and Enterprise accounts.

Bulk Edit provides some new and intuitive controls on the engagements page. There is a new 'Select Action' menu, and at the bottom of the list is a new option for 'Bulk Edit'.

Clicking 'Bulk Edit' from the 'Select Action' menu will transform the Engagement table into bulk edit mode. You will see new checkboxes down the left side of the table, along a new menu item to 'Select Bulk Action'. Selecting 'Cancel' will exit out of bulk edit mode the and Engagements Page will return to its default state.

Under the 'Select Bulk Action' menu are some new options. Bulk Edit will initially offer the following actions for engagements:

  • Activate Engagements

  • Start Coach Matching

  • Mark Engagements as Completed

  • Inactivate Engagements

  • Delete Engagements

Selecting any of the options above and clicking 'Next' will bring up an Information Dialog that allows the administrator to confirm the changes before submitting. Each bulk edit option has unique constraints that will be presented. The following table shows a preview of the Information Dialog and the business rules surround the bulk edit option.

Activate Engagements

  • Only engagements in the following status' will be activated: Inactive, Completed, Draft

  • The account must have available seat counts for the engagements

Start Coach Matching

  • Only engagements in Draft Matching will be started into Matching.

  • The account must have available seat counts for the engagements

Mark Completed

  • Only engagements that are Active or Inactive can be marked as Completed.

Make Inactive

  • Only engagements that are Active or Completed can be marked as Inactive.

Delete

  • A Delete action cannot be undone and will remove the data from the system. It is important that this feature be used with caution.

  • The Delete flow requires that the administrator enter the word 'delete' in the input before proceeding.

Once submitted a results confirmation dialog will be presented showing that the bulk edit process has started. Below is an example of the results confirmation dialog for activating engagements

When the bulk edit operation is complete, the administrator will receive an in-app notification as well as an email notification. The email notification will have a .CSV file with the results.

The CSV File will contain a row for every engagement that was part of the bulk action, along with the results of the action. Two columns in the CSV denote the results and includes the:

  • Bulk Action Result: Will indicate 'Success'/'Failed' for the operation

  • Bulk Action Fail Reason: Will provide the reason, in case of a failure

There are more capabilities that are in development. Bulk edit is being expanded to be able to add program items to engagements en masse, or add viewers, editors, or even change owners. We will also have the ability to add billing approaches and more. Please stay tuned as new updates will be available soon.

Expanded Engagement Filters

The filter on the engagements page has drastically increased in capabilities. The updated filter has an expansion of coachee, and now there are many engagement attributes that can be used for filtering. Also, date traps are expanding to include created and started dates. In all, the engagement filtering is simply way more powerful now.

Coachee Attributes

  • Language - Select from the core platform languages

  • Coachee Leader Level - Filters by assigned leader levels

Engagement Attributes

  • Engagement, or Template Name - Filters by the name assigned to the engagement

  • Engagement Type - Filters by 1:1 or On-Demand engagements

  • Engagement Owner - Filters by the name of the engagement owner

  • Billing Approach Template - Filters by the billing approach assigned to the engagement for the coach or the client.

Engagement Date Ranges

  • Created - Filters by the created date of the engagement

  • Started - Filters by started date of the engagement

Reporting Filter Improvements

Reports now benefit from enhanced date-based filtering, with specific filters tailored to individual reports rather than a generic 'Date' filter. Administrators can now specify precise search criteria, including when engagements, tasks, or employees were created or invited, and when tasks were assigned or completed. This nuanced approach provides administrators with greater clarity and control over their reporting processes.

The detail around the new filters are highlighted below for each report.

New “Created Date” Filter

  • Filters for when the engagement was created

  • Defaulted to last 12 months. This filter will appear as active/set when viewing the report.

New “Start Date” Filter

  • Filters for when the engagement was started, or activated

End Date” Filter

  • This filter already exists, but fills out a commonly used scenarios to find completed engagements.

The existing generic 'Date' Filter has been replaced by the filters shown above.

Sessions Report

Completed Date has been renamed to “Completed or Cancelled Date”

  • This filter already existed, but has been renamed to provide clarity.

  • Defaulted to last 12 months. This filter will appear as active/set when viewing the report.

Scheduled Date

  • This filter already exists, but fills out a commonly used scenarios to find sessions by their scheduled dates.

Coach Matching Report

New “Engagement Started Date

  • Defaulted to last 12 months. This filter will appear as active/set when viewing the report

  • This filters by the engagement's start date

The existing generic 'Date' Filter has been replaced by the filters shown above.

Coachee Report

Date filter has been renamed to “Account Created Date

  • Defaulted to last 12 months. This filter will appear as active/set when viewing the report

Goals Report

New “Created Date

  • Defaulted to last 12 months. This filter will appear as active/set when viewing the report

  • Filters by a goal's created date

Themes Report

New “Engagement Start Date

  • Defaulted to last 12 months. This filter will appear as active/set when viewing the report

  • Based on use within engagements, and filters by the engagement start date.

  • Based on use within engagements, and filters by the engagement start date.

Financial Report

New “Invoice Created Date

  • Defaulted to last 12 months. This filter will appear as active/set when viewing the report

  • Filters by the invoice created date.

New “Invoice Sent Date

  • Filters by the invoice sent date.

New “Invoice Due Date

  • Filters by the invoice due date.

Session Topics Report

New “Session Scheduled Date

  • Defaulted to last 12 months. This filter will appear as active/set when viewing the report
