Forms are a great way to collect feedback from prospective clients and employees. That information can help guide the next steps in terms of finding a suitable coach, or coach pool, or even selecting the program. Until now it has been a bit cumbersome to take the next steps to actually launch an engagement. Also, the form responses have always been been buried within forms, hard to deal with, and not available within the engagement.

This release solve some workflow gaps by adding filters to the forms, making it easy to launch engagements based on form responses, as well as include the form responses within engagements. This is going to be a big time save for administrators who are doing these steps in other ways as a part of their workflow.

In this release:

Improvements to Form Responses

When form responses come in administrators are notified, and the form responses can be found within the form resource. The response is aggregated with other responses in the Summary tab, and it is available within the Individual tab. The Individual tab has been a burden in that the only option is to paginate from response to response. And the Summary tab is great, but it does not allow for any filtering.

Now, within forms there is a new filter to help isolate the responses. At the top of the Form Responses tab there is a new 'Filter'.

Clicking on the Filter button opens a new dialog as seen below.

The Filter dialog allows for filtering by the responder's name, email address, or within a certain date range. After clicking on VIEW RESULTS, both the Summary data as well as the Individual data will be updated to reflect only the respective results. This should bring some efficiency to finding specific responses.

Forms to Engagements Workflow

Forms can already be a part of engagements, and attached as Program Items. Now, when form responses are received outside of engagements, there is new functionality.

Note*: The functionality below also works for form responses from coaches.

When a form response is received, and it is not part of an existing engagement, a new button will be presented directly within the Form Response panel.

Clicking on the CREATE ENGAGEMENT button will launch the Engagement Wizard with some new options related to the form responses.

Launching an Engagement Based on Form Responses

The Engagement Wizard is the workflow to create engagements. Now with the Intake Form enhancements, there are upgrades that allow you to easily integrate the form response information.

Step - Coach or Coachee

As mentioned, this new workflow can be used for coachees or coaches. In most cases the coachees will be providing the form responses, however the flexibility is there to use with coaches as well. The first step in the workflow is to choose what role the respondent is playing regarding the new engagement.

Step - Optionally Create a New Account If the User Does Not Exist

If the responder is not already in the system, the Engagement Wizard will allow for creating the right type of account for the user. Administrators and coaches should already be familiar with this workflow within the existing Engagement Wizard.

Step - Optionally Attach the Form Response to the Engagement

The form response can now be included directly within the engagement. This can provide a huge visibility increase for coaches as it relates to the form data. A new step will be presented in the Engagement Wizard, allowing the administrator to include the information or not.

There are new options to include the form or not. If the form is included the responses can be shared to the coachee, the coach, or both.

Form Results Within the Engagement

If the Intake Form response is shared with the engagement (Shown in the section above), then the Form will be prepended to the Engagement Template Program Items. The form will appear as the first item within the engagement.

This can provide a lot of benefit to the coachee and the coach to recall and reflect on the responses that were submitted prior to the engagement starting.
