Overview
Coordinating scheduling with a coachee, or scheduling assistant, has never been easier with the introduction of the Scheduling Link. Prior to this feature coachee's would need to login to the platform to check to coach's availability and reserve a spot for a session. Now, a unique scheduling link can be emailed directly, or sent from the platform, that allows for scheduling without requiring a login. This means that there is a streamlined flow that can be used, that also offers a ton of flexibility.
Scheduling links are only allowed for 1:1 sessions and are not eligible for group/team sessions, or interviews.
Enabling the Scheduling Link
The Scheduling Link feature needs to be enabled for an engagement, and this can be done from the engagement template settings, or within the engagement settings. This allows the engagement owner to determine if this feature can be used.
A new toggle in the Global Settings -> Company Settings, is available to administrators, as shown below. This toggle allows for this feature to be turned on or off for all coaches and engagement editors. The feature is enabled by default
Scheduling Link Button
Once enabled via the engagement settings, a new Scheduling Link button is available to coaches, and also to editors or administrators for the engagement. The scheduling link button is not available to coachees.
The Scheduling Link button appears next to the Schedule button on the session view. The image below shows the placement of the new button, along with the hover text that will appear upon hovering the mouse. If the session is already scheduled, the button will still appear, and will provide a link for rescheduling the session.
Clicking on the Scheduling Link button will open a dialog (shown below) that allows for copying of the link, or sending the link out to the coachee (or scheduling assistant if one exists).
The unique scheduling link will be presented within the Scheduling Link dialog. A 'Copy' icon to the right of the link will copy the link to the computer's clipboard upon clicking. Alternatively, the link can be sent directly to the coachee, or scheduling assistant, directly from the platform as well.
Selecting the 'Send Link' will send the link to the coachee or scheduling assistant, and is shown below.
The email that is received by the coachee, or scheduling assistant, provides information about the specific session and includes the session name, and the coach/coachee names. The 'Schedule Session' button will launch a new workflow that allows for scheduling without logging into the platform (Shown below).
The screen above shows the name of the session, the coach's name, and shows availability on the coaches calendar for scheduling. Coachee information is not presented. Also, it is important to note that the scheduling link is for a specific session and cannot be used to book other sessions. After selecting a date, the coach's availability for the day will be presented, and will show available time slots for the coach.
After selecting 'Confirm Selection' a confirmation screen will appear to confirm the date and time (as shown below).
Upon completion both the coach and the coachee will receive a notification that the session has been scheduled. When this workflow is used by a scheduling assistant, they assistant will receive a confirmation email with the details as well.
